Do you thrive in an admin role and enjoy being part of a supportive, dynamic team? KIMS Hospital has an exciting opportunity for you to join our Front of House team as a Customer Service Administrator.
In this role, you'll be the friendly face and supportive voice that helps patients, visitors, and staff feel welcome and valued. You’ll work closely with multiple departments, including Main Reception, Outpatients, and Preassessment, to ensure everything runs smoothly.
If you have a background in hospitality, retail, or any customer-facing role and are passionate about providing excellent service, we want to hear from you! Experience in healthcare is a plus but not essential.
This 10 hours per week role offers flexible working hours to cover holidays, absences, and fluctuating hospital volumes, with department operating hours from 6:30am to 8:30pm, Monday to Sunday.
Key Responsibilities:
• Greet patients, visitors, consultants, and staff with a warm welcome, guiding them to the right departments
• Handle face-to-face and phone inquiries, providing information and making appointments
• Manage patient appointments and records while liaising with patients and hospital staff
• Provide timely, accurate, and professional admin support to all hospital departments
• Maintain confidentiality and discretion when dealing with all hospital members
What we’re looking for:
• GCSE standard (or equivalent) education
• Proven experience in a customer service role
• Excellent organizational and time management skills
• Ability to work independently with minimal supervision
• Strong IT skills, including Microsoft Office and customer management systems

Interview Tips

Preparation is key
Before your interview, take the time to research your potential new employer, finding out about their company values and what you might expect working there. Have a clear travel plan ready for the day of the interview, allowing extra time for possible delays - being punctual will allow you time to gather your thoughts and check your notes. And don’t forget to bring the appropriate ID with you.

First impressions count
Making a good first impression will get your interview off to a great start. It shows you are taking your application seriously and that you are diligent and conscientious. Dress smartly and make sure you are well presented. In no circumstances should you be chewing gum and your mobile phone should be switched off.

During the interview
Take reassurance from knowing that your interviewer can often be as nervous as you. Be polite, honest and open, maintaining eye contact with them. Talk as clearly and confidently as you can and if you don’t understand a question, ask for clarification. When answering, focus on positive experiences and be prepared to go into detail about your previous positions and your future aspirations.

What do you want?
There will be opportunity for you to ask questions about the organisation and the role. Take this chance to ask about things that are important to you. Such as, what is expected of you in the first 6 months? Or, what training opportunities are there? Or, what has the interviewers experience of working for the company been like? It’s an excellent way of showing genuine interest.

When it's over
It’s important to leave the interview on a positive note. If you haven’t already discussed it, you may want to ask when you can expect to hear about their final decision. When it is time to leave, smile and thank them for seeing you. Shake hands firmly and confidently, and if you have enjoyed discussing the job, tell them.
